BUSINESS MANAGER – We are seeking a detail-oriented and proactive Finance & Operations Coordinator to manage the firm’s financial processes and support executive-level operations. This role is central to the smooth functioning of our Philadelphia and California offices, combining bookkeeping, financial tracking, and administrative leadership.
 
Key Responsibilities:
Financial Management & Bookkeeping
  • Maintain accurate financial records including general ledger, accounts payable/receivable, and bank reconciliations.
  • Prepare and issue client invoices; track payments and follow up on outstanding balances.
  • Monitor project budgets, track expenses, and assist in financial forecasting and reporting.
  • Support monthly, quarterly, and/or annual financial reviews and taxes in coordination with external accountants.
Project & Firm Financial Tracking
  • Collaborate with project managers to monitor project profitability and resource allocation.
  • Generate financial reports to support strategic planning and decision-making.
  • Assist in developing and maintaining financial dashboards and tools.
Executive & Office Operations Support
  • Manage payroll outsourcing and employee benefits administration.
  • Manage firm and design professionals’ licenses, registrations, and renewals.
  • Assist with onboarding/offboarding of staff and maintaining HR records.
  • Support office management tasks including vendor coordination, supply ordering, and general administrative oversight.
Qualifications:
  • Proven experience in bookkeeping, financial administration, or operations—preferably in a professional services or design firm.
  • Proficiency in accounting and project management software (e.g., Deltek Ajera, Vantagepoint, or comparable program, etc.) and Microsoft Office Suite.
  • Strong organizational skills and attention to detail.
  • Ability to handle sensitive information with discretion.
  • Excellent communication and interpersonal skills.
  • Familiarity with architecture or design industry workflows is a plus.
